About the role:

 The Senior Proposal Specialist will play a critical role in advancing iFOREST’s institutional growth by supporting programme development through a comprehensive set of activities including project conceptualisation, proposal writing, donor engagement, partnership coordination, fundraising, and reporting. The role requires strong coordination across programme teams, a sound understanding of the think tank and climate/sustainability ecosystem, and excellent communication, analytical, and project management skills. The position will also contribute to strategic planning and institutional development processes, ensuring alignment between programme priorities and funding opportunities.

Key Responsibilities

  1. Supporting programme and proposal development
  • Coordinate with programme teams to conceptualise new projects and initiatives aligned with institutional priorities.
  • Support the development of concept notes, technical proposals, and pitch documents for a range of funders (bilateral, philanthropic, CSR, foundations etc.).
  • Support development of project frameworks including objectives, outcomes, indicators, budgets, and work plans.
  • Coordinate with team to maintain a pipeline of proposal opportunities and track progress across stages.
  1. Anchoring funder and partnership coordination
  • Serve as a focal point for donor and partner communications, ensuring timely responses and relationship management.
  • Organise and coordinate meetings, presentations, and updates with funders and partners.
  • Maintain institutional records of communications, commitments, and partnership deliverables.
  • Support identification of funding opportunities, and outreach efforts.
  1. Managing reporting and compliance
  • Coordinate development of donor reports (technical and financial), working with programme and finance teams.
  • Ensure adherence to donor formats, timelines, and compliance requirements.
  • Support documentation of programme outcomes, lessons learned, and impact narratives.
  1. Cross-team coordination and internal processes
  • Facilitate regular engagement with programme teams for alignment on development priorities.
  • Contribute to internal knowledge sharing and capacity-building on fundraising and donor engagement.
  • Any other key task assigned

Qualifications and Experience:

  • Postgraduate degree in environment, public policy, climate change or a related field from a reputed school.
  • 5–7 years of relevant experience in a think tank, research organisation, bilateral/multilateral organisations, philanthropies or donor agency.
  • Demonstrated experience in proposal writing, donor reporting, and programme coordination.
  • Good understanding of the climate change/sustainability or development sector in India.
  • Exceptional written and verbal communication skills.
  • Proven ability to manage tight deadlines and coordinate across multiple teams.
  • Proactive, detail-oriented, and highly organised, with a problem-solving mindset

Programme Lead- Industrial Decarbonisation

We are looking for an experienced and dynamic professional to lead iFOREST’s Industrial Decarbonisation Programme. The Programme Lead will drive research, policy engagement, and technical solutions to facilitate the decarbonization of industrial operations, particularly in energy efficiency, energy management, and GHG accounting. This role requires expertise in leading teams, managing projects, and engaging with government bodies and industry stakeholders.

The Industrial Transition (or industrial decarbonization) programme is a part of iFOREST’s flagship initiative on Just Transition. The objective of the programme is to steer a green industry transition to support green growth and green jobs, while improving local environmental conditions and achieving climate goals.

The programme is strongly focused on technical research and stakeholder engagement (especially with government departments/agencies and the industry) to achieve a green transition of fossil fuel-dependent operations that are associated with various industries.

Key Responsibilities

Research and Content Development

· Lead and oversee all research activities within the Industrial Decarbonisation Programme.

· Assign tasks to team members, provide guidance, and monitor progress.

· Finalize methodology papers, research findings, and draft reports with actionable recommendations.

· Support the preparation of policy and project reports.

Stakeholder Engagement

· Develop and implement engagement strategies in collaboration with Directors.

· Build and maintain strong relationships with stakeholders, including government, industry, civil society, and media.

· Represent iFOREST in high-level meetings, conferences, and public forums, sharing institutional insights.

· Organize roundtables, convenings, and events to engage with stakeholders and launch reports.

· Design and manage a comprehensive outreach strategy to communicate research findings effectively.

Leadership and Team Management

· Lead, mentor, and manage a high-performing research team.

· Provide ongoing performance reviews and professional development opportunities for team members.

· Identify training needs and ensure capacity-building efforts to support team growth.

· Oversee the successful execution of projects in line with the organization’s mission, ensuring they meet timelines, objectives, and budgets.

Institutional Development and Strategy

· Work closely with program directors to shape state-level strategies aligned with organizational goals.

· Develop proposals, concept notes, and budgets for new projects.

· Seek out new initiatives and partnerships to advance the programme’s goals.

Qualifications and Experience

· Master’s degree in Engineering (preferably Mechanical, Industrial, Systems, or Power Engineering) or a related field.

· At least 10 years of relevant experience in research, strategy consulting, or advisory roles related to industrial operations, energy management, efficiency, and decarbonization.

· Research or consulting experience in energy, GHG, steam and process efficiency in MSMEs, Boilers and Industries is essential.

· Certification in Energy, GHG and ESG audits will be preferred.

Key Responsibilities

1. Office Administration and Operations

· Oversee and ensure smooth functioning of all administrative and operational activities across iFOREST offices in India.

· Ensure smooth functioning of CEO’s office.

· Manage office infrastructure, maintenance, procurement of office supplies, and equipment.

· Ensure timely payment of utility bills.

· Supervise administrative staff and ensure timely execution of tasks and responsibilities.

· On-ground support for iFOREST events on an as per need basis.

2. Procurement and Vendor Management

· Manage procurement processes in line with organizational policies and budgets.

· Negotiate and maintain contracts with vendors, service providers, and suppliers.

· Ensure quality, cost efficiency, and transparency in all procurement processes.

· Manage the visitors/guests in the Noida office.

3. Travel and Event Logistics

· Organize and oversee domestic and international travel arrangements for employees & CEO, including bookings, reimbursements, and compliance with travel policies.

· Coordinate logistics for workshops, conferences, and meetings (venue, catering, accommodation, etc.).

4. Compliance and Record Management

· Maintain administrative MIS related to office operations.

· Support HR and Finance teams whenever required.

· Ensure confidentiality and security of organizational documents and data.

5. Infrastructure and Facility Management

· Oversee office space planning, safety protocols, and facility improvements.

· Liaise with building management and external agencies for utilities, housekeeping, and security services.

Qualifications and Experience

· Bachelor’s degree in Business Administration, Management, or related field (Master’s preferred).

· Minimum 5-8 years of experience in administration, operations, or facilities management; experience in NGOs, think tanks, or research institutions preferred.

· Strong understanding of procurement, compliance, and organizational systems.

· Proven ability to manage teams, vendors, travel and multiple priorities effectively.

· Excellent communication, interpersonal, and problem-solving skills.

· Ability to do multitasking.

Assistant Manager Finance

Position Overview:

The Assistant Manager- Finance will be responsible for managing the organization’s financial operations, ensuring accuracy, compliance, and transparency in all accounting processes. The role involves maintaining books of accounts, preparing financial reports, handling statutory and FCRA compliances, supporting audits, and managing donor/project-based financial reporting. The incumbent will also assist in budgeting, fund utilization, and secretarial compliances, ensuring smooth coordination with auditors, banks, and other stakeholders. Key Responsibilities:

· Maintain accurate books of accounts, including journal entries, ledgers, and reconciliations.

· Assist in the preparation of monthly, quarterly, and annual financial statements.

· Support the preparation of budgets and financial forecasts.

· Handle statutory compliance including TDS, GST, PF, ESI, and other applicable laws.

· Assist with donor reporting, fund utilization statements, and project-based accounting (specific to NGOs).

· Manage FCRA-related compliances, including maintaining separate books of accounts, ensuring proper utilization of foreign contributions, and preparing and filing FCRA annual returns (Form FC-4).

· Coordinate with auditors during internal and statutory audits.

· Process payments and maintain documentation for grants, vendor bills, staff reimbursements, and other expenses.

· Maintain fixed asset register and oversee periodic physical verification.

· Support financial due diligence, MIS reporting, and donor audit processes.

· Perform secretarial work including drafting of board/committee notices, agendas, and minutes.

· Handle Company Law and ROC-related filings and compliances.

· Review and verify reimbursement claims to ensure adherence to organizational policies.

· Liaise with banks and financial institutions for routine operational matters.

Required Qualifications and Skills:

· Bachelor’s degree in Commerce, Finance, or a related field (B.Com, M.Com, MBA Finance preferred).

· 3 to 10 years of relevant work experience in accounting, finance, or audit functions.

· Strong understanding of accounting principles and Indian financial regulations.

· Proficient in MS Excel, Tally, and/or other accounting software (e.g. Tally, QuickBooks, Zoho Books).

· Good communication and organizational skills.

· Ability to manage multiple tasks and meet deadlines.

Preferred / Added Advantage:

· Experience working in the NGO/development sector and familiarity with donor-funded projects.

· Past experience in a CA firm with exposure to audit, taxation, and financial compliance.

Lead Urban -Green Cooling

The International Forum for Environment, Sustainability & Technology (iFOREST) is seeking a dynamic professional to lead its Urban – Green Cooling Program. 

The successful candidate must demonstrate proven aptitude, substantial experience, and a track record of leading a multi-disciplinary team of 5+ professionals engaged in research and outreach on low carbon cities and urban resilience. Specific areas of work will include, Green Cooling, Heat and Cooling Action Plan and low-carbon urban development. The candidate should possess a strong understanding of these issues. Additionally, experience in conducting research. authoring reports and organising meeting/workshop/conference related to the urban sector is essential. 

This is a leadership position, requiring expertise in developing programs, managing teams, and executing projects. Furthermore, experience in engaging with government departments on policy and project implementation is a key requirement. 

Candidates must also clearly understand and appreciate the critical role think tanks play in shaping public policy and supporting its implementation.

Research and Writing 

  • Lead the research initiatives of the program.  
  • Develop new methods/framework/planning tool etc.

  • Lead the engagement part of the program including organising roundtables/ workshops/ conference, organise one-to-one meeting government and industry leaders, engage with media etc.

  • Experience of working in a think-tank space would be an added advantage.
